TITLE: Office Manager

JOB DESCRIPTION:  The Office Manager is responsible for the coordination of office support services and facilities management, ensuring that the office runs professionally and efficiently.  This staff member reports directly to the Director of Finance & Administration.


RESPONSIBILITIES:

  • Handle receptionist functions: answering and transferring phones calls, greeting visitors;
  • Maintain office equipment and furnishings;
  • Work with external Information Technology (IT) support to resolve computer and network problems;
  • Communicate with the building management regarding facilities and maintenance issues;
  • Handle inventory and ordering of office and kitchen supplies;
  • Ensure all record keeping with regards to worker's compensation, life, health and other insurance policies, and assure that state and government regulations are completed as required;
  • Assist Director of Finance & Administration with data input into accounting system and various bookkeeping and administrative tasks;
  • Format and print miscellaneous letters, contracts. Create general office letters and notices;
  • Manage incoming and outgoing mail and packages;
  • Maintain the appearance of the office;
  • Help to organize staff meetings, staff retreats and special events;
  • Assist with special projects as needed.

 

QUALIFICATIONS:

  • Minimum of 2 years experience in similar position
  • Strong verbal, written, and interpersonal communication skills;
  • Strong organizational skills, attention to detail and excellent follow-through;
  • Strong computer and technology experience;
  • Financial and bookkeeping experience (experience with QuickBooks preferred);
  • Ability to work independently, meet deadlines, initiate and manage projects, prioritize, and perform a wide variety of tasks with minimal supervision and maximum efficiency;
  • Flexible, solution-oriented, resourceful with ability to handle multiple tasks;
  • Commitment to the goals of the organization;
  • Professional attitude.
